As required by Texas Government Code §441.185, the TDCJ Records Retention Schedule, 4th Edition was recertified by the Texas State Library on October 13, 2006. The recertified schedule serves as the agency’s authorization for maintenance and disposition of all agency records. Using the approved schedule ensures the agency’s legal accountability and access to public information obligations are being met. A state record may not be destroyed or deleted until its retention period is fulfilled or it is transferred to the State Archives. It is the content and function of a record, not its format, which determines the length of time it is be retained. It should be noted that the October 2006 Records Retention Schedule, 4th Edition is the only schedule that is valid. Retention schedules dated prior to October 2006 should be discarded.
The success of the Records Management Program is dependant on the cooperation of all TDCJ staff. In the past two years, over 2,700 TDCJ unit and administrative employees have been trained in Records Management.
